Tyre Import Document Checklist

A destination-specific document plan helps prevent avoidable corrections, storage charges and customs delays.

Import preparation

Document requirements belong in the RFQ, not at the arrival notice

Tyre import requirements vary by country, product category and transaction. The importer is responsible for confirming current rules with customs, a licensed broker or the relevant authority. The supplier can prepare only what has been clearly requested and agreed.

Use this checklist to organise the conversation. It is deliberately broader than a universal list because no universal list can replace destination-specific advice.

Reviewed 2026-08-26 · For wholesale planning; final specifications and import requirements must be confirmed for each order.

Commercial invoice and packing list

The commercial invoice normally identifies seller, buyer, invoice number and date, product description, quantity, unit and total value, currency, trade term and named place, payment reference and origin information as required. The packing list expands the physical shipment: line quantities, package or loading method, net and gross weight, volume and container details when available.

Descriptions, quantities, weights and party names should agree across documents. Ask the broker which tariff classification and description format are appropriate; the supplier should not guess a code solely to make clearance appear easier.

Transport document and origin evidence

For ocean freight, review the bill of lading instructions before final issue. Check shipper, consignee, notify party, ports, marks, container and seal numbers, goods description, package count and freight notation. Decide whether originals, express release or another release method fits the payment and banking arrangement.

A certificate of origin may be required by the destination, buyer, bank or preferential-trade process. Confirm the correct form, issuer, supporting evidence and timing. Do not assume every Thailand-origin shipment receives preferential treatment.

Product compliance and technical documents

Requirements may include product certificates, test reports, registration, sidewall markings, production information, technical sheets, labels or pre-shipment conformity procedures. The applicable evidence can differ between passenger, commercial, motorcycle, agricultural and OTR tyres.

Confirm the rule against the exact brand, pattern and size. If an approval number or marking is required, ask for clear evidence before loading and have the importer or competent professional verify it. The UNECE vehicle-regulation portal provides official background for markets using UN regulations, but local adoption and import procedures still need country-level confirmation.

Inspection, insurance and banking documents

If independent inspection is required, define the scope: quantity, visible condition, markings, production dates, packing, loading and seal. Decide who appoints and pays the inspector and what happens when a discrepancy is reported.

For CIF or separately insured cargo, review the insurance certificate or policy, insured value, risks, exclusions, beneficiary and claim instructions. Letter-of-credit transactions can impose exact wording and presentation deadlines; the bank's documentary conditions must be aligned before shipment.

A document-control workflow

1Importer obtains a written destination checklist from the broker or authority.
2Supplier confirms which documents and product evidence can be provided.
3Buyer approves drafts and resolves discrepancies before final issue.
4Final documents are distributed according to clearance, bank and insurance deadlines.

Keep a version-controlled approval trail. Small spelling or quantity differences can become expensive when the vessel has already arrived.
