Tyre Supplier Evaluation Checklist

A practical due-diligence framework for importers and distributors placing a first bulk tyre order.

Importer due diligence

Trust should be built from evidence at each commercial checkpoint

A polished catalogue is only the beginning of supplier evaluation. The real question is whether the company, product, payment request, loading plan and documents remain consistent from quotation to shipment. This checklist helps a buyer ask for evidence in proportion to the value and risk of the order.

No single document proves everything. Use several independent checks, keep approvals in writing and involve a qualified inspection or trade professional when the order risk warrants it.

Reviewed 2026-08-26 · For wholesale planning; final specifications and import requirements must be confirmed for each order.

Verify the legal and commercial identity

Compare the legal seller name, address and registration details across the quotation, proforma invoice, email signature and beneficiary account. Search the address independently. Hold a video call using the established business contact, especially before a first payment or after changed banking instructions.

A website domain and company email are useful signals, but neither is conclusive. Be cautious when the beneficiary is an unrelated personal account, the company name changes without explanation, or the seller pressures payment before resolving specification questions.

✓Legal seller and invoice identity agree.
✓Bank beneficiary relationship is explained and verified.
✓Physical address and responsible sales contact are clear.

Verify the exact tyre, not only the brand

Ask for a technical sheet or current product data for the quoted pattern and size. Match the sidewall designation, construction, load and speed markings, application and tube status. For OTR or agricultural products, confirm the machine position, service code, ply or star rating, compound and rim requirement where relevant.

Certification is destination-specific. Ask which document applies to the exact SKU and have your importer, broker or competent authority confirm acceptability before shipment. A logo in a brochure or a certificate for another product family is not a substitute for SKU-level review.

If production date matters commercially, agree the acceptable range and evidence before the order. Also agree whether factory blems, seconds, retreads or repaired tyres are excluded; never leave product condition implicit.

Test the quality of the quotation

A professional quote should make the commercial basis visible. Check currency, validity period, unit and total price, quantity, Incoterm and named place, readiness estimate, payment milestones, packing basis and document scope. Ask what can change after acceptance.

Challenge vague promises respectfully. “Certified”, “premium”, “ready stock” and “free shipping” are not specifications. Ask which standard, which SKU, which warehouse quantity and which cost is included. Good suppliers can explain uncertainty without hiding it.

Create written order controls

State that substitutions require written approval. Define the pre-shipment evidence: photos or video of markings, quantity check, production-date check, independent inspection, container condition, seal and loading sequence. Agree the response if a material discrepancy is found before loading.

Review draft invoice, packing list and transport instructions. Keep the sales contract, technical approvals and document corrections in one file. For claims, confirm notification timing, evidence required, inspection process and remedy route. The purpose is not paperwork for its own sake; it is to prevent a disagreement about what was ordered.

Use a weighted supplier score

Score product conformity and commercial reliability more heavily than presentation. A practical model can allocate points to identity verification, technical completeness, destination documentation, order-control process, response quality, lead-time realism, payment protection, loading evidence and claim handling.

Record evidence beside every score. Reassess after each shipment using actual discrepancies, document accuracy and response time. A supplier with a slightly higher unit price may produce a lower total cost if the order arrives correctly and clears without avoidable delay.

Frequently asked questions

Is a factory certificate enough to approve a tyre order?

Not by itself. Confirm that the document is authentic, current, relevant to the exact product and accepted for the destination market.

Should importers use third-party inspection?

Consider independent inspection according to order value, first-order risk, product complexity and buyer policy. Define the inspection scope before booking it.

What is the biggest warning sign?

A material inconsistency that the seller will not explain—especially across product specifications, legal identity, beneficiary details or shipping terms—should stop approval until resolved.

Send a quote request that can be priced properly

Include your tyre sizes, quantities, preferred brands or quality tier, destination port and target timing. Thai Tire can then confirm current availability, a practical size mix and the next export step.
